Digital invoice storage

Keep received invoice files connected to the records used to review them.

InvoSort stores a submitted invoice inside an authenticated account workflow and keeps its file close to the structured record. Preview or download the original when it is available, while maintaining your own backup and retention policy for critical business documents.

What stays together

The submitted document and selected invoice details.

A processed record can show details such as vendor, invoice number, invoice date, amount, category, type, source, and status when they are available. The stored file remains the evidence to check.

What remains your responsibility

Backup, retention, and professional recordkeeping decisions.

Retention periods depend on jurisdiction, industry, and business needs. InvoSort does not present its product storage as an immutable archive, a guaranteed backup service, or a compliance certification.

From intake to access

Use a clear path from the submitted file back to the source.

Digital storage is most useful when a record does not become detached from the document it describes. InvoSort keeps that relationship visible throughout the review workflow.

  1. Submit a supported invoice

Upload a valid PDF of up to 20 MB in the dashboard, or use connected Telegram intake for a PDF, PNG, JPG, JPEG, or photo of up to 20 MB.

  2. Keep file and record connected

The submitted document is stored in the invoice workflow while selected fields are prepared as a record for review.

  3. Open the source when needed

When a stored path is available, the invoice row can create short-lived preview and download access to the submitted file.

Return paths

Revisit stored invoices through the views available today.

The dashboard provides concrete review paths rather than unrestricted keyword search: recent rows, intake-source filtering, and the current-year month view.

Recent records

Review the latest ten invoice rows in date order and open an available source file from the row.

Intake source

Narrow recent rows to dashboard uploads or Telegram submissions when you need to distinguish how a file arrived.

Current-year month

Open a month in the current-year calendar to review invoice records assigned to that period.

The invoice tracking page explains these review views and their limits in more detail.

Freelancer example

Keep software and supplier invoices from disappearing into downloads.

A freelancer may receive recurring PDF invoices from software providers and suppliers. Submitting those PDFs through the dashboard keeps each source file linked to a record that can be reviewed again later.

  • Submit the valid PDF through dashboard intake.
  • Check the prepared vendor, date, amount, and category.
  • Open the original file when a detail needs verification.
  • Keep an independent backup policy for critical records.

Questions

What to know before you choose a workflow.

Straight answers about how InvoSort handles received invoice documents and where human review still matters.

Which invoice files can I store through InvoSort?

The dashboard accepts valid PDF files up to 20 MB. After you connect Telegram, InvoSortBot can accept PDF, PNG, JPG, JPEG, or Telegram photo invoices up to 20 MB.

Can I access the original invoice later?

Yes, when the source file is available on the record. The dashboard can provide preview and download access so you can compare extracted details with the submitted invoice.

Can I search stored invoices by vendor or full text?

No. Vendor names and other fields appear in invoice records, but the current dashboard does not provide vendor-keyword or full-text search. It supports recent source filters and a current-year month view.

Does InvoSort replace my business backup policy?

No. InvoSort stores submitted invoice files for access inside the product, but businesses should still define their own backup and retention requirements for critical records with the appropriate adviser.

Can I delete an invoice and its stored file?

The dashboard provides a Delete action. Its deletion workflow removes the invoice record and its associated stored file from the active product workflow, so confirm your retention requirements before deleting a business record.
